Guidelines to submitting your data
Submitting your data each month
Each month, you will have two data deadlines – one to submit financial data and one to submit gaming data. By each deadline, you need to email us an electronic copy of your completed Monthly Trial Balance each month and a copy of your Monthly Gaming Performance Report.
Financial and Gaming data is published separately. For example: Your July Financials will be published on the 5th working day two months after (September) and your July Gaming will be published on the 15th working day one month later (August).
Dates for data submission and data publish
It is important that you follow the data submission deadlines each month so that your data is included with each publish. Once all the data is received from all clubs, we can perform final checks and reconciliation procedures before the data is published.
Submitting your data each month also enables industry analysis and comparisons with complete data sets. Also, by submitting data each month, your analysis and reporting, particularly your trend reports, will be complete because they will show all your monthly data.

Things we should know about your data
When you submit your data via email, it is helpful to highlight any new events or extra information (for that month) that might affect your monthly figures. Through our stringent system processes, your data is reconciled and the system highlights data that is considered ‘abnormal’ or incomplete. Your advice as to these events can help us to identify and reconcile this data more quickly, reduce the number of enquiries to your club (on our behalf) and publish data more quickly.
Here are some examples of advice that would help:
- major renovations or temporary/permanent closures of business areas
- large differences in revenues or costs from the previous month
- new financial accounts within your charter
- changes in EGM counts, conversions or relocations

Understanding the allocation of your accounts
CDOL Mapping Helper is a MS Excel file that shows you how all your club’s financial accounts are allocated to the KPIs in CDOL Financials. It is a chart of accounts showing where each account is mapped to the CDOL system. It is updated when there are changes to your chart of accounts.
Once you subcribe to Club Data Online, you will automatically receive a Mapping Helper for a period of three months.
